While most clubs that have used rcRacingEvents to hold their races believe it is the event management tool of choice, it has created one issue that almost all clubs who use this service have had to deal with and have complained about.
People procrastinating and entering at the last minute.
Clubs have told me that in their opinion, because the attendee list is public and online for all to see, those who wait until the last minute to enter an event are actually hurting attendance.
This also makes it difficult for some smaller clubs to have enough funds for trophies, etc. to be purchased in time for the event.
Some clubs have resorted to posting an event four to five months in advance to try and get more to sign up early, but it has only marginally helped.
I have been told that quite a few people have stated that;
'They would have entered, but it did not look like it was going to be a big enough race to travel to.'
Then, in the last few days before the registration period closes, there is a flurry of entries. By then, it is too late for the out of town racer to reconsider.
To help clubs with this issue, I have taken the following step;
I have removed the 'Days left to enter' information from the 'Online Race Entry' page. Now, the only place to find the late fee and cutoff date is on the sign up page itself. The intent is that once a person is on the signup page, if they are going to enter, they may as well do it right there and then.
The only other recourse that I can see is for the clubs to charge a higher, or earlier late fee. And/or make the cutoff date earlier as well. This of course, is up to the clubs and I have no involvement in decisions of that nature.
